A bus moves the whole party at once. Where it stands is the harder question.

Tell us where the bus has to reach before you tell us how many are travelling. A marriage garden with brick gate pillars and a school lane with cars parked down both sides take different vehicles, even when the party is the same size.

The size question, answered before you book

When the whole party has to move at one time and splitting it across smaller vehicles would mean several drivers, several pick-up points and everybody reaching at different hours. Whether that is a mini coach or a coach is settled at the far end rather than by the headcount. A mini coach follows a car up a hill road and stands inside a school gate or a temple lane. A coach takes the whole guest list in one load, and it wants a wide approach and open ground to swing round in before we will promise it.

When this is more vehicle than you need

Nothing on the card seats more, so the only move left is downwards into two vehicles: when the approach will not take a long one, a pair of tempo travellers costs more than a single bus and is the only thing that actually reaches the gate.

What we ask for is the width at the gate, how far the lane runs in, and whether there is anywhere at the far end to turn round. A vehicle that cannot turn has to reverse the whole lane, and on a wedding night that lane has guests walking down it.
Height as well as width
A hotel porch canopy, a low underbridge on the way in and the branches over a colony road all sit at bus height, and not one of them shows up on a map. Where we do not already know the road, we would rather go and look at it than find out with the party on board.
Where it stands while the function runs
A bus cannot sit at the gate with its hazards on for the whole of a function. Tell us whether the venue has a bay for it or whether it should go away and come back, because that is the difference between one duty and two and it is easier settled on the quotation than at midnight.

Nothing is added at the drop that was not on the quotation.

The quotation carries the per kilometre rate and the driver allowance for every calendar day the car is held, and the hour of the pick-up changes neither of them. Toll, state permit and parking are passed through at the receipt value, and they are named on the quotation too, with the figure filled in once the receipts come back.

In the figure you are quoted

  • The per kilometre rate published for the class you booked, applied to the kilometres the trip actually runs once it is past the 250 km minimum. A shorter trip is charged for the minimum.
  • The driver allowance for every calendar day the car is held, including the day it comes back, whether it moves that day or not.
  • The same per kilometre rate whatever the hour. A pick-up at four in the morning is charged exactly as one at noon.
  • GST at the rate applicable to passenger road transport, shown as its own line on the quotation and again on the invoice rather than folded into the fare.

Passed through at the receipt value

  • Toll and state entry tax, at the receipt value. We do not mark it up.
  • State permit charges where a route crosses into a state the vehicle needs a permit for.
  • Parking, where the airport or the hotel charges for it.
  • Hill charges and green tax where a state levies one.

If a charge is not on the quotation you were sent, it does not appear on the invoice.

Asked about this class

The venue says a bus cannot come inside the gate. What do we do?

We find the nearest point a bus can stand and turn, set down there, and run the last stretch with a smaller vehicle so nobody elderly is walking it. Where there is no such point the honest answer is two tempo travellers instead of one bus, and we will tell you what that costs while you are still choosing the venue rather than afterwards. It is worth asking early, because a venue is booked months before the transport is.

Can one bus do the trip twice instead of us hiring two?

Often yes, and on a guest shuttle it is usually the cheaper answer. We work a timing sheet backwards from the hour everybody has to be there, with the real running time between the hotel and the venue in it, so you know when each load leaves. What it costs you is time rather than a second vehicle, and it only holds if somebody at your end keeps the guests to the sheet.

Can a bus take us up to Shimla or Manali?

A mini-bus can, on the main road, with the load and the driver both suited to a hill run. A coach is a different answer: there are stretches where a long vehicle will not get round at all, and where that is the case we will say so before you book instead of turning back at a barrier with the party on board. Ask about the specific road and you will get a straight yes or no.

Two buses for one party: do they travel together?

They leave together and they should reach together, and that takes a little organising rather than none. Both drivers get the same route and the same halt, one of them leads, and you get one number to ring instead of two. What goes wrong otherwise is that the second bus loses the first at a toll plaza and comes in half an hour behind everybody else.
