We book you a class, not a car

What we commit to in writing is the class, the seating it gives you and the rate it runs at. The vehicle you are getting, with the driver’s name and number, reaches you the evening before you travel.

Start with how many are travelling

Count the people who are actually going, including the children. The seat count on each class is what its permit allows and it counts nobody standing, so a driver will refuse an extra passenger at the gate rather than risk the vehicle.

Every class we can put on a trip, with the seats it takes and what it costs per kilometre. Models are typical of the class and what arrives is that model or a similar one.

The quotation carries the per kilometre rate and the driver allowance for every calendar day the car is held, and the hour of the pick-up changes neither of them. Toll, state permit and parking are passed through at the receipt value, and they are named on the quotation too, with the figure filled in once the receipts come back.

In the figure you are quoted

  • The per kilometre rate published for the class you booked, applied to the kilometres the trip actually runs once it is past the 250 km minimum. A shorter trip is charged for the minimum.
  • The driver allowance for every calendar day the car is held, including the day it comes back, whether it moves that day or not.
  • The same per kilometre rate whatever the hour. A pick-up at four in the morning is charged exactly as one at noon.
  • GST at the rate applicable to passenger road transport, shown as its own line on the quotation and again on the invoice rather than folded into the fare.

Passed through at the receipt value

  • Toll and state entry tax, at the receipt value. We do not mark it up.
  • State permit charges where a route crosses into a state the vehicle needs a permit for.
  • Parking, where the airport or the hotel charges for it.
  • Hill charges and green tax where a state levies one.

If a charge is not on the quotation you were sent, it does not appear on the invoice.

Every car goes out against the same list.

The permit, the insurance, the fitness certificate and the driver’s verification are checked before the vehicle is put on your trip, and they are checked the same way every time. Nothing on that list is waived because a booking is short or the day is busy.

  • When a vehicle is put on our roster

    The registration certificate, the all India tourist permit, the commercial insurance and a current fitness certificate are checked against the originals rather than against a photograph of them on somebody’s phone. A vehicle whose permit or fitness has lapsed does not go out, and that is the same rule for a car we own and a car we have hired in.

  • Before a driver is given a duty slip

    A commercial licence with the right endorsement for the class he is driving, police verification, and a badge. It is the same list whether he draws his pay from us or from the operator who owns the car, and a driver who cannot produce all three does not get the duty.

  • On a fixed cycle, whoever owns the car

    Tyres, brakes, lights, wipers, the air conditioning and the first aid box are checked on a set schedule, and the check is signed by a named person rather than ticked off. Anything that fails comes off the roster until it is put right.

  • The evening before you travel

    You get the class you booked, the vehicle it is, and the driver’s name and number, the evening before, on WhatsApp. If the car we allotted cannot run, what comes instead is the same class or better at the rate you were quoted, and we tell you rather than letting you work it out standing outside your gate.

What people ring up and ask about the car

Can I ask for a particular model?

You can ask, and we will tell you honestly whether we can hold it. What we commit to in writing is the class, because that is the promise that survives a Tuesday morning when a car goes in for a clutch. A wedding car works the other way round: that one is booked by name for the date, because on that day the car is the point.

Does the rate change once the vehicle is allotted?

No. The rate you were quoted is the rate on the duty slip. The allotment is made a day or two before the trip, and it settles which vehicle in the class you booked is coming and who is driving it, not what it costs. You have the name and the number the evening before.

What if more people turn up than we booked for?

Ring us the moment you know. The driver cannot take more than the permit allows and he will say no at the gate, and that is his licence rather than him being difficult. If we can get a second vehicle to you we will, charged at that class’s own rate, and if there is a bigger class free we will tell you what the change costs before we move you into it.
